Privacy policy

This policy explains what S4NDO collects, why we collect it, and what we do with it. It covers our website at s4ndo.net and the S4NDO scheduling and dispatch application.
Two groups of people appear in this policy. Customers are the cleaning companies that buy S4NDO. End users are the people whose information a customer puts into S4NDO — their cleaners, office staff, and clients. For customer data, S4NDO is the controller. For end-user data inside a customer’s account, the cleaning company is the controller and S4NDO is the processor acting on their instructions.
Information we collect
Information you give us
- Contact details — name, company, email address, and phone number submitted through our contact form or by email.
- Account details — the name, email, role, and password of each user of the application.
- Operational data — jobs, schedules, addresses, property access notes, crew assignments, clock-in and clock-out records, timesheets, checklists, and job notes.
- Client records — the names, addresses, phone numbers, email addresses, and service preferences that a cleaning company records for its own clients.
- Messages — the contents of text and in-app messages sent between a cleaning company, its crews, and its clients through S4NDO.
Information collected automatically
- Usage and device data — IP address, browser and device type, pages viewed, and timestamps.
- Location at clock-in — where a cleaning company enables it, the application records the location of a device at the moment a cleaner clocks in or out, to confirm attendance at the property. We do not track cleaners continuously or between jobs.
How we use information
- To provide, operate, and support the scheduling and dispatch service.
- To send job, schedule, and account notifications to the people a customer designates.
- To deliver messages between a cleaning company, its crews, and its clients.
- To respond to enquiries, set up new accounts, and provide customer support.
- To bill customers and keep financial records.
- To secure the service, prevent abuse, and diagnose faults.
- To meet legal and regulatory obligations.
We do not sell personal information. We do not use end-user data to build advertising profiles, and we do not use a customer’s operational data to train machine-learning models for other customers.
Text messaging
No mobile information is shared with third parties or affiliates for marketing or promotional purposes. Phone numbers and SMS consent are never sold, rented, or shared for anyone else’s marketing.
Text-message originator opt-in data and consent records are not shared with any third party except the messaging providers and carriers strictly required to deliver the messages you have asked for.
Where a cleaning company sends appointment reminders and job updates to its clients through S4NDO, it is responsible for obtaining consent from those clients. Full details of our messaging programme, message frequency, and opt-out instructions are set out in our SMS terms and consent policy.
Sharing
We share information only in these situations:
- Service providers that run the service on our behalf — hosting and database infrastructure, email delivery, SMS delivery, error monitoring, and payment processing. They may use the data only to perform their service for us.
- Within a customer’s account — users at a cleaning company see the jobs, crews, and client records their role permits.
- Legal requirements — where we are required to disclose information by law, regulation, or valid legal process, or to protect our rights, safety, or property.
- Business transfers — if S4NDO is involved in a merger, acquisition, or sale of assets, information may transfer as part of that transaction. We will give notice before your information becomes subject to a different privacy policy.
Cookies
Our marketing site uses only what it needs to function. The application uses cookies and similar storage to keep you signed in, remember your preferences, and keep the service secure. You can block or delete cookies in your browser, but parts of the application will not work without them.
Retention
We keep customer account and operational data for as long as the account is active. After an account closes, we retain the data for 90 days so it can be restored or exported, then delete or anonymise it, except where a longer period is required for legal, tax, or accounting purposes. Message and consent records are retained for at least four years, as messaging regulations require.
Security
Data is encrypted in transit with TLS and encrypted at rest. Access to production systems is limited to staff who need it, protected by multi-factor authentication, and logged. Access inside a customer account is governed by roles the customer controls. No system is perfectly secure, but we work to industry-standard practice and will notify affected customers without undue delay if a breach affects their data.
Your rights
Depending on where you live, you may have the right to access, correct, delete, or export your personal information, to object to or restrict certain processing, and to withdraw consent. To exercise any of these rights, email hello@s4ndo.net. We will not discriminate against you for making a request.
If your information is held inside a cleaning company’s S4NDO account — for example, you are a client or an employee of one of our customers — contact that company directly. We will forward requests we receive to the relevant customer and assist them in responding.
Children
S4NDO is a business tool and is not directed at children. We do not knowingly collect personal information from anyone under 16. If we learn that we have, we will delete it.
International transfers
We operate in the United States and Canada, and our service providers may process data in those and other countries. Where we transfer personal information across borders, we rely on appropriate safeguards, including standard contractual clauses where required.
Changes to this policy
If we make a material change, we will update the effective date at the top of this page and notify customers by email or in the application before the change takes effect.
